Step-by-step overview of how Toolkit Aspen Way builds, reconciles, and maintains cold wallet registers for family offices.
Every register engagement at Toolkit Aspen Way follows a documented sequence. The steps below describe our flagship cold wallet register maintenance process from first consultation through ongoing quarterly cycles.
The five stages of register care
- Scoping consultation
We meet with the commissioning principal or CFO to understand your custody arrangement: number of devices, multisig structure, existing documentation, and governance requirements. You receive a written engagement letter with scope, timeline, and fee estimate. - Physical inventory session
At our Incheon office or your premises, we photograph each hardware wallet, record serial numbers, note firmware versions, and document storage locations. We never request seed phrases during inventory; we document where phrases are held and who holds custody. - Register drafting
Our specialists compile the master register: device index, derivation path table, cosigner responsibility matrix, seed custody map, and recovery contingency appendix. Drafts are reviewed by you before binding. - Reconciliation pass
We compare register entries against current holdings using client-provided view keys or signed message verification. Discrepancies are logged with severity ratings and recommended remediation steps. - Delivery and quarterly rhythm
You receive a bound register volume and encrypted digital archive. Quarterly maintenance sessions update amendment pages, refresh the discrepancy log, and produce a board-ready summary memo.
What you prepare before the first session
Gather all hardware wallets, a list of cosigners with current contact details, any existing custody notes, and authority documentation confirming who may commission register work. If devices are held at multiple locations, schedule access accordingly.
